QuickBooks Payments Consulting

Hidden processing fees, chargebacks you can’t defend, recurring payments failing silently, deposits that never arrive. QuickBooks won’t tell you what’s happening inside your merchant account. I will.

U.S. ARMYVeteran. Discipline, precision and accountability on every engagement

Most business owners know QuickBooks takes a cut. Very few can tell you which cut, because QBO charges four different rates depending on how the money arrives, debits the fee separately from the deposit, and buries the dispute tooling three layers deep. The result is a merchant doing $20,000 a month who is paying roughly $598 in processing and reading it as noise on the bank feed.

I spent years on the frontline of QuickBooks Online Payments support working these cases every day — holds, disputes, failed recurring billing, missing deposits, misclassified transaction tiers. This is that same work, done independently, at flat rates, with a written record you keep.

Talk to Someone Who Does This All Day

No intake forms. No discovery-call funnel. Describe the problem and you get a straight answer about whether it’s fixable and what it costs.

What’s Actually Draining Your Revenue

Six failure modes account for nearly every QuickBooks Payments engagement I take.

You’re on the wrong processing tier

A saved card charged without prior authorization bills at the keyed rate of 3.5%, not the 2.99% invoiced rate you assumed. Across a year that misclassification alone can run into four figures.

Chargebacks you can’t defend

QuickBooks’ dispute tooling is buried, and disputes carry hard response deadlines. Miss the window and you lose automatically — merit never enters into it.

Recurring payments failing silently

Expired cards, lapsed authorizations and broken recurring templates fail quietly. Most merchants find out weeks later during reconciliation, after the customer has already churned.

ACH left switched off

The spread between 1% ACH and 2.99% card is 1.99 points. On large B2B invoices that is the single biggest lever in the entire system, and it is frequently just never enabled.

Deposits that don’t match invoices

QuickBooks debits fees separately from deposits. Without line-by-line matching you cannot see which tier your money is landing in, which means you cannot fix it.

Holds and funding delays with no explanation

Risk holds, verification failures and funding-schedule surprises all look identical from the merchant side: money that should be there and isn’t.

How It Works

1

Call or email

Reach out with the specific issue, or ask for a full audit. No intake forms, no discovery call funnel — you talk to me directly.

2

I review the account

I audit your QBO Payments configuration, reproduce the problem, and document every finding with a plain-English explanation of what is happening and why.

3

You get a written action plan

Exactly what needs to change, in what order, and what each change is worth. Yours to keep whether or not I implement it.

4

Fixed and documented

I implement the fixes or walk you through them step by step, then hand over the written record so it stays fixed.

Who This Is For

A good fit if…

  • You use QuickBooks Online Payments and your fees don’t match what you expected
  • You have an open chargeback, or you keep losing disputes you should be winning
  • A deposit is missing, delayed, or your merchant account is on hold with no clear explanation
  • Recurring billing keeps failing and you’re chasing each failure manually
  • You’re processing over $2,500 a month and have never had your rate reviewed
  • Your deposits and invoices don’t reconcile and it’s becoming an audit risk

Probably not a fit if…

  • You need full-service bookkeeping or tax preparation — that’s a CPA, not a payments specialist
  • You’re on QuickBooks Desktop Payments only; rates and tooling differ, so ask first
  • You want someone to guarantee a specific rate from Intuit — nobody outside Intuit can promise that
  • You’re looking for free ongoing support rather than a scoped engagement

Frequently Asked Questions

How much does QuickBooks Payments consulting cost?

Engagements are flat-rate, not hourly. A full QBO Payments Audit starts at $150, Chargeback Defense Setup and Recurring Billing Repair start at $100, Payments Optimization starts at $125, a Reconciliation Framework starts at $150, and ongoing monitoring runs from $200 per month. Every engagement includes a written summary of findings and action items, so you keep the documentation whether or not you work with me again.

Are you affiliated with Intuit or QuickBooks?

No. This is an independent practice with no affiliation with, endorsement by, or commission arrangement with Intuit Inc. That matters because it means there is no incentive to keep you on a plan or product that is not right for you. If the honest answer is that a different processor serves you better, that is the answer you get.

My QuickBooks deposit is missing or delayed. Can you help?

Yes, and this is one of the most common cases. A deposit that has not landed is usually one of a small set of causes: a risk hold on the merchant account pending review, a bank account verification failure, a funding schedule that is not what the merchant assumed, or a batch that closed after the cutoff. Each has a different resolution path, and knowing which one you are in is most of the work.

Can you help me fight a QuickBooks chargeback?

Yes. QuickBooks has dispute response tooling that most merchants never locate, and disputes have hard response deadlines — miss the window and the chargeback is lost automatically regardless of merit. The work is finding the dispute interface, assembling the specific evidence the card networks actually accept, and building a workflow so the next one is not a scramble.

Why do my recurring payments keep failing in QuickBooks?

Most recurring failures trace back to expired or reissued cards with no updater in place, insufficient funds on a fixed billing date, a lapsed authorization on a stored payment method, or a recurring template that broke during a customer or item change. The fix is usually retry logic plus a customer communication sequence, not chasing each failure by hand.

Can you actually get my QuickBooks processing rate lowered?

Sometimes, and it is worth checking. Intuit states that merchants processing more than $2,500 per month may qualify for up to 25% off transaction costs, but it is never applied automatically — you have to request a rate review. Beyond that, the larger savings usually come from moving volume between tiers, since the spread between ACH at 1% and keyed cards at 3.5% is far bigger than most negotiated discounts.

Do you work with businesses outside Kentucky?

Yes. The practice is based in South Central Kentucky but the work is remote and serves businesses across the United States. QuickBooks Payments issues are the same in every state, and everything is handled by phone, email and screen share.

Stop Losing Money on QBO Fees

One conversation usually finds savings that cover the engagement several times over. If it doesn’t, I’ll tell you that too — and you’ll still have the written audit.
